Conference Secretarial Returns (please scroll down for DC & CC Secretarial Return Guidance):
The Secretarial Return is used to capture the data relating to your Conference activity during any given financial year 1st April to 31st March.
You should by now be collating data for the period 1st April 2025 to 31st March 2026. This data can be fully submitted from 1st April 2026.
In order to collate the information from our 900+ Conferences, we ask that you complete your Secretarial Return online where possible, so all the information can be collated easily. For those Conferences that are unable to complete their return online, you can use the template which is available below.
The Secretarial Return is a vital administrative tool as it enables us to ensure compliance with our statuary obligations such as the production of the SVP Annual Report and Accounts, Insurance provision for Members, Safeguarding (DBS) and Data Protection. We also use the data for applications to secure grants for the Society which are essential to ensure financial sustainability of the services we offer to those in need.

Returns for 2025/26
The new financial year 2025/26 quarterly returns are now available to download. If you are correctly showing as Treasurer for your Conference/Council on our database you will already have received an email with the workbook and how to guide.
You will see that we have incorporated the gift aid claim with the quarterly financial returns and going forward we would expect all GA claims to be submitted with each quarterly return where there is a claim to be made. For Conferences who already submit Gift Aid claims, please ensure that your final claim for the period up to 31 March 2025 is submitted by Wednesday 30 April 2025. All subsequent claims will need to be submitted quarterly.

The SVP Emergency Fund is available to conferences with limited finances to assist them in providing Vincentian support to those in urgent need.
Awards do not need to be match-funded by district or central councils.
